Reports to: General Manager

We’re looking for a killer Senior Project Manager to join our team in the US and to manage a number of our most prestigious client accounts. Based out of the New York City area, an OK COOL Senior Project Manager is someone who has in-depth knowledge of social media platforms and how brands should show up on them.

The Project Management role at OK COOL is a centralized function, designed to work in partnership with Account, Creative, Creative Strategy, Influencer, and Operations. The Senior Project Manager plays a critical role across highly complex creative and production-related projects for some of our top clients. This role requires organizational excellence, ability to work collaboratively with stakeholders across the entire business and communicate directly with clients in a professional and effective way. 

The Senior Project Manager will be responsible for building project plans, staff plans, and executing on complex retainers and projects. This role sits within the Client Service discipline, working in direct partnership with Account teams to execute smoothly. This includes creative and production-related projects like brand campaigns, always-on organic social, creator, and any other client work as assigned by the General Manager. 

The Senior Project Manager will be tasked with driving forward our operational excellence across the team with a particular emphasis on more informed project planning, budgeting and scoping for projects, producing burn reports after the completion of each project, and better aligning our scopes to resource allocation. This role will be working very closely with Operations departments – resourcing and finance. 

The person in this role needs to be a team player with a solutions-oriented mindset and able to put forward viable solutions to improve OK COOL’s project management practice. 

While this is subject to change, the Senior Project Manager will report directly to the General Manager  in order to properly integrate this role into the team and the business.

Responsibilities:

The role of Senior Project Manager is varied and evolving. In this role, you will:

• Lead and manage complex production projects including dynamic creative, brand campaigns, always-on organic social, creator and more 

• Budget and scope out projects that are assigned to them 

• Manage resourcing for projects that they run and oversee 

• Manage concurrent projects for multiple clients and teams

• Oversee deliverables from across the business 

• Ensure delivery of work is to the highest possible standard

• Complete work to deadline and often under pressure

• Manage relationships with freelancers, vendors and partners

• Lead, line-manage, motivate and inspire your team

• Instill trust in Account Management partners as well as clients by being highly diligent, organized and responsive

• Driving forward our project management practice 

• Mentor, train and educate other project managers as well as account planners on how to run projects effectively 

• Manage direct reports of project managers and junior project managers 

• Make a noticeable impact in the systems and processes that the Account team uses to manage projects for clients 

• Advise management on tools, systems or other tech that might improve our project management approach 

• Partner directly with Ops to find efficiencies in how we manage our design and creative resource 

• Operations and finance

• Deliver wrap reports on each project to outline job profitability and analysis of the data

• Identify ways to improve our scoping and budgeting process to improve profitability 

• Partner with management and finance to improve scoping procedures to be more accurate with how we approach projects
  
  

Qualifications & Skills:

• 6+ years experience in project management roles in a creative agency environment

• Experience managing complex campaigns (experience in paid social preferred)

• Excellent project management skills, able to find the most efficient ways of working

• Experience with campaign content production and budget management

• Experience leading, motivating and coaching teams 

• Inspiring and able to create a proactive and energized team culture

• Ability to build and maintain strong relationships with clients and internal stakeholders

• Strong client relationship management skills

• Brilliant written and verbal English communication skills

• Advanced problem-solving skills

• Excellent organizational skills and high attention to detail

• Excellent time management skills

• Ability to react quickly within a fast-paced environment

• Ability to remain focused under pressure and work under tight deadlines

• Proficiency in the use of Asana, Microsoft 365, Google Suite, and Slack

• Proficient in working with data
